How to import donor and donation information from an external system

We understand that one of the most challenging things about beginning to use a new CRM is what to do with your prior data. Let us help you with importing your donor and donation data so that you can get back to helping others.
 
  1. Ensure that you are able to obtain an export of both donor and donation data from your prior system (see below)
  2. Schedule a meeting with us to discuss migrating your data into our system and let us know the following
  3. The name of the system where your information is coming from
  4. A brief description of the data you would like to import
  5. We will meet with you to review the data you have, answer any of your questions, and schedule an import date.
  6. We will send you an invoice for $60 which must be paid before we complete the import.
 
 

 

Note: To allow an import into our system, it is necessary to provide us with an export from the external system containing, at minimum, the required fields below:

 
  • Id fields from external system
    • external contact id (required)
    • external donation id (recommended)
  • Required fields
    • tax_deductible (Y/N)
    • transaction_initiated_at
    • comment
    • amount
    • tax_deductible (Y/N)
  • Optional Fields
    • check number
    • last four (for credit/debit/checking accounts)
    • purpose name
    • campaign name
    • type (donation / purchase)

Also, for each contact, an CSV export would be necessary containing the following export fields (see How to use Import Contacts to add or update multiple contacts )

  1. external contact id
  2. First Name
  3. Middle Name
  4. Last Name
  5. Preferred Name
  6. Birth date
  7. Email
  8. Cell Phone
  9. Gender
  10. Marital Status
  11. Position
  12. Organization
  13. Website
  14. Tags (comma separated)
  15. Address
  16. City
  17. Region
  18. Country
  19. Postal Code
